- Assisting in document preparation, filing, maintaining and updating office databases
- Cooperating with vendors, building management/owner, and service providers
- Coordinating requests and orders with suppliers and HID Global partners
- Welcoming visitors and support with accommodation bookings, if needed
- Assisting with employee onboarding
- Organizing and coordinating company events, conferences, training sessions, and meetings
- Handling emails, and mail distribution
- Handling shipment of packages
- Coordinating internal communications and announcements
- Managing purchases, monitoring deliveries, and classifying invoices
- Supporting HR in administrative tasks
- Fleet management for Germany and Austria
- University degree in a related field ongoing or equivalent combination of education preferred
- Experience as an office assistant or in related field will be an asset
- Proactivity, can-do attitude
- Strong organizational skills
- Independent, detailed oriented way of working
- Very good time management and ability to prioritize daily tasks
- Strong communication and teamwork skills
- Discreet and knowledgeable in applying GDPR regulations
- Feeling comfortable in a nerdy environment
- Ability to effectively communicate in the German language, both verbally and in writing
- Ability to effectively communicate in the English language, both verbally and in writing
